2. Privacy Policy

This policy explains how JobMatchFlow ("we", "us") collects, uses, and protects personal data when you use jobmatchflow.com and the JobMatchFlow application (app.jobmatchflow.com), in accordance with the EU General Data Protection Regulation (GDPR).

2.1 Who is responsible for your data

The data controller is Qingyu Jiang, trading as JobMatchFlow, 14 Cour du Couvent, L-1362 Luxembourg, Luxembourg — [email protected].

2.2 What we collect

• Account data: your email address and login credentials.
• CV / resume data: the content you upload to build your profile — for example name, contact details, education, work history, language skills, and any other information your CV contains. Depending on the format of your CV, this can include details such as date of birth, nationality, or a photo. Please avoid including data you consider highly sensitive (e.g. health information, religious or political affiliation) unless strictly necessary — we do not ask for or intentionally process such categories of data.
• Usage data: your interactions with the app, such as saved searches, applications tracked, and matching results.
• Referral data: if you use our referral program, we link your referral code to the account you referred (and the credits it earns) so we can attribute rewards correctly.
• Technical / connection data: our hosting and content-delivery provider (Cloudflare) processes standard technical data such as IP address for network security and operation purposes. We do not use this data for analytics or tracking, and jobmatchflow.com itself does not collect any additional data or set any analytics/tracking cookies.

2.3 Why we process your data, and on what legal basis

• Performance of a contract (Art. 6(1)(b) GDPR): to create your account, match your CV against job postings, and provide the service you signed up for.
• Legitimate interest (Art. 6(1)(f) GDPR): to keep the service secure, prevent abuse, and maintain the technical infrastructure (including the connection data described above).
• Consent (Art. 6(1)(a) GDPR): where we ask for it separately, e.g. for optional communications.

2.4 AI-based matching (Google Gemini)

To score your CV against job postings, we send relevant CV content and job description text to Google's Gemini API. Google acts as a data processor on our behalf. This processing may involve transferring data outside the European Economic Area as part of Google's global infrastructure; such transfers are covered by the EU Standard Contractual Clauses included in Google's data processing terms. You may object to this processing at any time (see Section 2.8); note that AI-based matching is currently a core part of how the service works, so objecting may limit your ability to use it.

2.5 Where your data is stored

Application data (accounts and CV content) is stored on infrastructure operated directly by the data controller, rather than on a third-party cloud hosting service. We take reasonable technical and organisational measures to protect this data against unauthorised access, loss, or misuse.

2.6 Who we share data with

• Google (Gemini API) — CV and job description content, for matching/scoring (see 2.4).
• Cloudflare — technical connection data only, for hosting and network security.
• Stripe — payment details, only if and when you subscribe to a paid plan. We do not receive or store your full card details ourselves.

We do not sell your personal data.

2.7 How long we keep your data

If your account is inactive for 3 months, we delete the associated account and CV data. If you request deletion of your account at any time — via the account deletion option in the app, or by emailing [email protected] — we delete your account and personal data immediately.

2.8 Your rights

Under the GDPR, you have the right to access, correct, delete, or export your personal data, and to object to or restrict certain processing. To exercise any of these rights, use the in-app account tools where available, or contact us at [email protected]. You also have the right to lodge a complaint with the Luxembourg National Commission for Data Protection (CNPD), cnpd.public.lu, or with the data protection authority in your own country of residence.

2.9 Cookies

The jobmatchflow.com marketing website does not use analytics or tracking cookies. The application may use a strictly necessary session cookie to keep you logged in, which does not require consent under GDPR since it is essential to providing the service you requested.

2.10 Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date at the top of this page.

3. Terms of Service

These Terms govern your use of JobMatchFlow (jobmatchflow.com and app.jobmatchflow.com). By creating an account, you agree to them.

3.1 The service

JobMatchFlow aggregates job postings from third-party job boards and other publicly available sources, scores them against your profile using AI-based matching, and helps you track your applications.

3.2 Job data is not guaranteed

Job postings are sourced from third parties. We do not guarantee that our listings are complete, accurate, or up to date — the original posting from the employer or job board is always authoritative. We do not guarantee that using JobMatchFlow will result in interviews or job offers.

3.3 AI-generated matching

Match scores and explanations are generated automatically using AI and may be incomplete or incorrect. They do not constitute professional career, legal, or immigration advice, and should not be relied on as your sole basis for any decision.

3.4 Accounts

You must provide accurate information when creating an account and are responsible for keeping your login credentials secure.

3.5 Plans and billing

• Free plan: new accounts get a 7-day full-access trial, with no payment card required. If you do not upgrade, your account automatically continues on the Free plan at the end of the trial — you are never charged automatically.
• Pro plan: CHF 12 per month, billed monthly in advance via Stripe. There is no separate trial period on the Pro plan — billing starts as soon as you subscribe, and your subscription automatically renews each month until you cancel.
• You can cancel at any time via your account settings or by emailing [email protected]. Cancellation stops future renewals; it does not by itself refund the current billing period (see our Refund & Cancellation Policy).

3.6 Right of withdrawal

If you are an EU consumer, you have the right to withdraw from your first Pro plan subscription within 14 days of payment, without giving a reason, and to receive a full refund. See our Refund & Cancellation Policy for how to exercise this right.

3.7 Disclaimer of warranties

The service is provided "as is" and "as available". We do not warrant that it will be uninterrupted, error-free, or that job data will be complete or accurate.

3.8 Limitation of liability

To the extent permitted by Luxembourg law, we are not liable for indirect or consequential losses arising from your use of the service, including missed job opportunities.

3.9 Termination

We may suspend or terminate accounts that misuse the service, violate these Terms, or engage in fraudulent or abusive behaviour.

3.10 Referral & credits program

• Referrals: when someone you refer upgrades to the Pro plan and their first payment is completed, you receive 3 credits.
• Job aggregation reward: if you report a job posting to us that duplicates one already in our system under different keywords, we may — at our discretion — reward you with up to 1 credit for helping us improve our listings.
• Credit value: 1 credit = CHF 1. Credits can only be applied to reduce the cost of your own Pro plan subscription — they are not redeemable for cash, transferable to another account, or usable for any other purpose.
• We may withhold or reverse credits obtained through fraudulent, abusive, or bad-faith activity (e.g. self-referrals, fake accounts, or false reports), and may change or discontinue this program at any time.

3.11 Changes

We may update the service or these Terms from time to time. Continued use after a change takes effect constitutes acceptance of the updated Terms.

3.12 Governing law

These Terms are governed by the laws of Luxembourg, without regard to its conflict-of-law provisions. Any dispute shall be subject to the exclusive jurisdiction of the courts of Luxembourg, without prejudice to any mandatory consumer-protection rights you may have in your country of residence.

4. Refund & Cancellation Policy

This policy applies to the paid Pro plan (CHF 12/month).

4.1 Your first payment: 14-day withdrawal right

• If you are an EU consumer, you may cancel your first Pro plan payment within 14 days, without giving a reason, and receive a full refund.
• To use this right, email [email protected] within 14 days of your payment date with your account email. We will process the refund promptly once we receive your request.

4.2 Later renewal charges

• The 14-day withdrawal right above applies to your first payment only. For later monthly renewal charges, refunds are not automatic.
• You can still email [email protected] to request a refund on a renewal charge, stating your account email and reason. Each request is reviewed individually and approved at JobMatchFlow's discretion — a refund is not guaranteed.

4.3 Cancellation

• Cancelling your subscription stops future renewals but does not, by itself, refund a period already paid — see Sections 4.1 and 4.2 above for that.
